What personal data we process

When you contact us or book a demonstration, we may process:

• the type of contact or demonstration you would like
• information you provide in the message field

If you use the pricing indicator, we may also process the configuration you select, for example:

• number of users
• existing server environment
• desired processing capacity
• simultaneous jobs
• recommended server model
• financing option
• preliminary price indication

We may also process technical information required for the functioning, security and troubleshooting of the website.

Please do not submit sensitive personal data, meeting content or confidential business information through the website's contact form.

Why we process the data

We process personal data in order to:

• answer questions and contact requests
• book and carry out demonstrations
• put together a suitable Convono setup
• provide pricing information and quotes
• follow up an ongoing business dialogue
• administer customer relationships and agreements
• protect and troubleshoot the website

Legal basis

The processing may be based on:

• steps taken prior to, or the performance of, an agreement
• AI Systems Sweden AB's legitimate interest in responding to enquiries, following up business dialogues and developing the business
• legal obligations, for example accounting requirements

You may object at any time to processing used for direct marketing.

How long the data is retained

Contact requests and leads that do not lead to a continued customer relationship are normally retained for a maximum of 12 months after the last contact.

If a business dialogue, quote or customer relationship continues, the data may be retained for as long as needed to administer the relationship and fulfil the agreement.

Data that must be retained by law, such as accounting records, is retained for the period required by legislation.

Who may access the data

Personal data may be processed by AI Systems Sweden AB and by suppliers that help us with, for example:

• operation and hosting of the website
• storage of contact requests
• email delivery
• technical support and security

Suppliers may only process the data in accordance with our instructions and applicable agreements.

We do not sell your personal data.

Processing outside the EU and EEA

If a technical supplier processes personal data outside the EU or EEA, the processing shall be subject to a lawful transfer mechanism and appropriate safeguards.

This information will be updated if the website's suppliers or storage locations change.

Cookies and similar technologies

The website uses necessary technical functions required for security, form protection and to remember your cookie choice. Your choice is stored locally in the browser together with the timestamp and policy version.

With your consent to the Statistics category we use Google Analytics 4 (Google Ireland Limited) for visitor statistics. The statistics cover only visitors who have consented to Statistics. No Google Analytics code is loaded, no Google Analytics cookies are set and no Google Analytics data is sent before you have actively consented. The data processed includes a pseudonymous identifier in your browser, page views, referral source, device and browser information, approximate geographic location and events such as button clicks and submitted forms. The data is pseudonymous, not anonymous. Advertising storage is always denied and we never send names, email addresses, phone numbers, messages or pricing configurations to Analytics. The legal basis is your consent. Google Analytics cookies are stored for up to 24 months; your cookie choice is stored for six months.

Our forms are protected by Cloudflare Turnstile (Cloudflare, Inc.). The service assesses whether a request comes from a person or from automated traffic and may, for that purpose, process IP address, browser information, TLS fingerprint and a site identifier. Turnstile is a necessary security function that protects the forms against spam and abuse; it is not used for marketing or visitor statistics. The legal basis is our legitimate interest in protecting the service.

We do not use marketing cookies. You can change or withdraw your consent at any time via the Cookie settings link in the footer. When consent for Statistics is withdrawn, measurement stops and existing Google Analytics cookies are deleted. Your rights

Depending on the circumstances, you have the right to:

• receive information about how your personal data is processed
• request access to your personal data
• request correction of inaccurate data
• request erasure
• request restriction of processing

No transmission or storage can be guaranteed to be entirely risk-free. Our safeguards are adapted to the nature of the processing and the technical solutions used.

Convono at the customer's site

This policy covers AI Systems Sweden AB's own website and our contact and business processes.

When Convono is installed in a customer's environment, responsibility, personal data processing, support and access are governed by customer agreements and, where applicable, data processing agreements.

Which party is the data controller or data processor depends on the specific setup and which parties actually process the personal data.

Changes to this policy

We may update this privacy policy if our services, suppliers or personal data processing change. The latest version is always published on this page.
